An assistant that only knows what it's allowed to know

An AI panel inside RadPass Admin that turns a typed question into a real, data-backed answer, not a chatbot bolted onto the side of the product. Four UI attempts, one architecture decision, and a cross-tenant leak I found and closed before ship.

ROLE

Design + build. Logic, data scope, UI architecture, prompt design.

Problem

Compliance data existed across 5 report pages. Answering one question meant reading all of them.

Decision I own

Docked, resizable panel, modeled on GitHub Copilot.

Outcome

Shipped, live data, 10 regression tests. Closed a cross-tenant leak pre-launch.

01 — Problem

The record existed.
Finding one fact in it didn't.

RadPass already logs every change of responsibility and every machine state (see the core case study), but across five separate pages. A question as simple as "which energies were last disabled, and where" meant knowing which page held the answer, then reading it by hand.

AI Assistant answers in place: type the question, get a sentence, a chart, and a link to the full report.

02 — Interface: four attempts

Where does an assistant live on a page that's already full?

03 — Scope

What it's allowed to see, and who.

  • Enabled per organisation and per role from the Owner platform. Tested toggling it on and off: the whole panel disappears cleanly, not just the badge.

04 — The boundary test

Signed in as one hospital.
It answered for another.

A scope diagram means nothing until someone tries to break it. So before launch, I did.

Cross-tenant leak, found pre-launch
Signed in as one hospital, I asked about another hospital's data. The assistant answered anyway. The org boundary above wasn't enforced yet, it just looked like it was.

Reported and closed before launch, then re-tested the same question against the same two orgs to confirm the fix actually held, not just that the query changed.

05 — Validation

From scope to default questions.

06 — Testing

Same question, refined until the shape was right.

Refined output. Real question, real data, chart built from the shared design system's tokens. Answer links straight back to its source report.

One shape stayed inconsistent: inferring a current state from a log of changes. A stricter fix existed and was rolled back on purpose, to keep the answer able to explain what changed. Left as a known limitation, not a rushed patch.

NOW

Live in pilot. No numbers to publish yet. Limited to Managers, currently tracking query volume, how often people still open the full report anyway, and time to answer. That's what decides whether this goes beyond one hospital.
